PTBiz Privacy Policy

This Privacy Policy explains how Paratech Software Solutions (Private) Limited ("Paratech", "we", "us") handles information in the PTBiz mobile application for Android (package erpapp.app) and iOS (the "App").

PTBiz is a business app for the employees of companies that use the Paratech ERP system, such as sales executives, managers and administrators. It is used to book sale orders and record receipts, payments, recoveries, tasks and reminders. The App is not open for public sign-up: your account is created by your employer (the "Company") in its Paratech ERP.

In short

• We use your information only to run the App for your Company: signing you in, saving and syncing your business records, and sending you notifications and reminders.
• We do not sell your data, show advertising, use advertising IDs, or use analytics or crash-tracking tools.
• Location is used only while the App is open, and only when you choose a location for a reminder. The App never tracks your location in the background.
• Camera and photos are used only when you choose to take or pick a picture.
• All network traffic is encrypted (HTTPS), and your sign-in details are kept in the phone's encrypted storage.

1. Information the App handles

1.1 Account and profile information

• Sign-in details: your email address and password, used to sign in to your Company's ERP. The password is kept only in the device's encrypted storage (Android Keystore-backed storage, iOS Keychain), so the App can renew your session securely. It is never shown, logged or shared.
• Profile: your name, user ID, role and access rights, company, branch (point of sale), and any profile details you choose to edit, such as your phone number or profile picture.
• Company code: the code you enter to connect the App to your Company's ERP server.

1.2 Business records you enter

Records you create or view as part of your work: customers and suppliers, sale orders and their products, quantities and amounts, cash and bank receipts, payments, recoveries (collections), cheque details, notes, attachments you add, task lists and reminders. These records belong to your Company and are processed on its behalf.

1.3 Location

The App asks for your location (precise and approximate) only while it is open, when you choose "current location" or pick a place on the map for a reminder. The selected place is saved with that reminder on your device. The App does not request background location and does not track your movements.

When you use the map or search for an address, the map and the place you look at are processed by Google Maps, and the address lookup by the device's geocoding service (Google on Android, Apple on iOS).

1.4 Photos, camera and files

• Camera: used only when you choose "Take Photo", for example for your profile picture.
• Photos: used only when you pick an image, such as a profile picture or an attachment to a receipt, payment or reminder.
• Saving and sharing reports: when you tap Save or Share on a receipt, payment, collection or sale order report, the App creates the image or PDF and saves it to your gallery or hands it to the app you choose. On Android 9 and older this uses the storage permission; newer versions need no storage permission.

1.5 Notifications

• Push notifications: the App uses Firebase Cloud Messaging (Google). It creates a device notification token, which is sent to your Company's ERP server at sign-in so that work notifications can reach your phone.
• Reminder notifications: reminders you set are scheduled on your device, using exact alarms so they fire on time. They are restored after the phone restarts.

1.6 Device and connection information

The App checks whether the phone is online, so it knows when records can be synced, and reads the Android version to request the right storage permission. This information is used on the device only and is not collected by us.

1.7 What the App does not collect

The App does not access your contacts, call logs, SMS, microphone, calendar, health or fitness data, or background location. It does not use an advertising ID, analytics or crash-reporting services.

2. How the information is used

• To sign you in, keep your session active and show only the modules your Company's ERP rights allow.
• To create, store offline, sync and display your business records, and to show you your own sales and collection totals.
• To limit the customers you can select to those your Company assigns to you.
• To send push notifications and the reminders you set.
• To produce reports, receipts and documents you choose to save or share.
• To keep the App secure, prevent duplicate or lost records, and fix problems.

We do not use your information for advertising or profiling, and we do not sell it.

3. Where information is stored and who receives it

• Your Company's Paratech ERP server: account, profile and business records are sent over HTTPS to the ERP server your Company code connects to, where your Company and its authorised staff can access them. Paratech operates or hosts this ERP service for your Company.
• Google Firebase Cloud Messaging: delivers push notifications using the device token.
• Google Maps Platform and device geocoding (Google or Apple): only when you use the map or address search for a reminder.
• Google Fonts: the App may download display fonts from Google's font service. This request contains no personal information beyond what any internet request does, such as your IP address.
• Legal requirements: we may disclose information if required by law or a valid legal request, or to protect the rights, safety and security of users, our customers or Paratech.

4. App permissions

Permissions marked "when you use the feature" are requested only at that moment, and you can refuse them or turn them off later in your phone's settings. The rest of the App keeps working.

5. Security

• All communication with the ERP server uses encrypted HTTPS connections. The App refuses non-secure server addresses.
• Your password and session token are kept in the device's encrypted storage and are removed when you sign out.
• On Android, App data is excluded from device backups. On iOS, App data may be included in your own encrypted iCloud or computer backup, as for any app.
• The App shows only the modules and records your ERP rights allow.

No method of transmission or storage is completely secure, but we work to protect your information and to fix any issue promptly.

6. Data retention

• On your device: records are stored offline until they are synced to the ERP. Synced records are removed from the device automatically after about 7 days. Records that have not been synced yet are kept so that no work is lost, including after sign-out. Uninstalling the App deletes all data stored by the App on that device.
• On the ERP server: records are kept for as long as your Company keeps them under its own policies and legal obligations (for example accounting and tax record-keeping), or as agreed in its contract with Paratech.

7. Your choices and rights

• Permissions: you can allow or deny location, camera, photos and notifications at any time in your phone's settings.
• Access and correction: you can view and edit your profile in the App. For other records, contact your Company's administrator.
• Sign out: signing out removes your sign-in details and session from the device.

Deleting your account and data

Your PTBiz account is created and managed by your Company in its Paratech ERP. To delete your account and its associated data:

1. Ask your Company's ERP administrator to deactivate or delete your user account, or
2. Email us at info@paratech.com.pk with the subject "PTBiz account deletion", including your account email and your Company's name. We will verify the request with your Company and complete it within 30 days.

When an account is deleted, your sign-in access and profile are removed. Business records you created, such as sale orders, receipts, payments and recoveries, belong to your Company and may be kept by it where the law requires (for example for accounting), but they will no longer be linked to an active account. Uninstalling the App removes all of its data from your device.

8. Your Company's role

For business records, your Company decides what is collected and how it is used, and Paratech processes that information on its behalf to provide the ERP and the App. For questions about how your Company uses these records, contact your employer. You can also contact us using the details below.

9. Children

PTBiz is a business tool for employees and is not intended for children. We do not knowingly collect information from anyone under 18. If you believe a child's information has been provided, contact us and we will delete it.

10. Changes to this policy

We may update this policy when the App or the law changes. The "Last updated" date above shows the latest version. If a change significantly affects how your information is handled, we will notify users through the App or your Company.
