# Why a generic ERP struggles in a pharmaceutical plant

> Quarantine, assay, FEFO, stage-wise QA and yield gates: the pharma-specific controls a general business ERP usually leaves to paper and spreadsheets.

Most ERP systems are built for "any business": buy, store, sell and account. Those four functions matter in a pharmaceutical company too, but they are not where pharma plants lose time and money. The losses happen in the gaps between departments: material used while still under test, batches expiring on the shelf, stage decisions recorded on paper, and batch costs that only appear after month-end.

This article sets out where a generic ERP usually falls short in a pharma plant, and what to look for instead.

## 1. Quarantine is a status, not a gate

In a generic ERP, a goods receipt creates stock. Quality control, if it exists at all, is a flag on that stock. That means the system has already said "this material is available" before anyone has tested it, and preventing its use depends on people remembering not to issue it.

In a pharma ERP, the order should be reversed: **stock is created only after QC approval.** In ParaTech Pharma ERP, material moves from Inward Gate Pass to Receiving Note to Quality Inspection, and a GRN can only be raised against an approved inspection. Inspections cannot be approved while any allocated test result is blank.

## 2. Items are batches, with expiry and assay

A generic system tracks quantity per item. A pharma store needs quantity per **batch**, and each batch carries an expiry date and, for actives, an assay. That changes two everyday decisions:

  - **Which batch to issue.** FEFO, earliest expiry first, should be the system's default. ParaTech auto-allocates FEFO on both material issues and delivery challans.
  - **How much to issue.** If the active assays at 98%, the issued quantity must be grossed up. ParaTech calculates required × 100 ÷ assay % at material issue, using the assay QC recorded for that batch.

The item master also needs pharma fields: shelf life, near-expiry days, sample percentage, label claim, drug registration number and renewal, and schedule.

## 3. Production happens in stages, with QA between them

A generic production module records an order, consumes materials and receives output. A pharma batch moves through dispensing, granulation, compression, coating and packing, and QA must release certain stages before the next one starts. Without that, stage progress, yields and QA decisions end up in paper registers.

In ParaTech, stages are defined per dosage form, with a QC-required flag and a minimum yield % for each stage. Stage processing calculates yield automatically and checks it against the minimum. The next stage is blocked until in-process QA releases the current one, and the person who produced a stage cannot release it.

## 4. Formulas need versions

Pharma products often have several approved batch sizes or pack presentations, and formulas change under change control. ParaTech's product profiler keeps separate bulk and packing BOM versions, allows several active versions, and locks the chosen version on the manufacturing order.

## 5. Finished goods are not saleable until QA says so

Sales should only be able to dispatch stock that QA has released. In ParaTech, FG QA approves quantity per batch, which posts stock to the finished-goods store and creates the production voucher. Delivery challans then allocate from released stock only.

## 6. Finance needs to see the batch

When stores, QC, production and sales keep separate records, finance gets the numbers late and has to reconcile them. In a pharma ERP the operational documents should post their own vouchers: GRN accruals, material issues, FG release, sale invoices, bills of entry. ParaTech posts these automatically and blocks automatic voucher types from manual entry. On the costing side, the Product Cost Sheet estimates material cost per batch from the BOM version and last purchase rates, and profit reports show margin by product, invoice and brand.

## 7. Tax compliance belongs in the invoice

For companies in Pakistan, FBR Digital Invoicing should happen from the sale invoice, with the DI number and QR printed on it, rather than in a separate tool.

## 8. Equipment and calibration are part of the record

An inspector who looks at a batch will also ask about the equipment used to make and test it. In a generic setup, maintenance and calibration sit in spreadsheets, disconnected from stores and accounts. ParaTech's Equipment Management module keeps the register, work orders and calibration records in the same system, and a failed calibration puts the equipment Down until it passes again.

## What "one system" should mean

ParaTech Pharma ERP runs twelve functional modules on one database: the batch received at the gate is the batch QC tests, production consumes, sales dispatches and finance values. There are 16 business dashboards and more than 250 built-in reports on that same live data.

## Questions to ask any ERP vendor

  1. Can stock be created before QC approval? Show me what stops it.
  2. Who chooses the batch on an issue, the system or the user?
  3. Where is assay recorded, and how does it change the issued quantity?
  4. Can the next production stage start before QA has released the current one?
  5. Is yield checked against a minimum at each stage?
  6. Can the person who produced a stage release it?
  7. Which vouchers post automatically from operational documents?

Ask for each of these to be shown live, not on slides.
